How to Add or Remove Users and Set User Roles

Your Corporate Traditions account supports an unlimited number of users, each with a role that controls what they can see and do. This guide covers removing a user, inviting a new one, choosing between the Admin, Gifter, and Auditor roles, and setting limits on what Gifters can order.

Only Admins can add, edit, or remove users.

Find the Users section

  1. Log in to the Corporate Traditions portal. You will land on the Dashboard.
  2. Click the Organization tab at the top.
  3. Scroll to the second section, Users, to see everyone currently on the account.

Remove a user

  1. Click the pencil icon next to the user.
  2. Click Remove User.

Invite a new user

  1. Click Invite User on the right side of the Users section.
  2. Enter your teammate’s email address.
  3. Choose a role (see below).
  4. Set any Gifter options that apply.
  5. Click Submit.

The invitee receives an email to set their password and log in.

Choose a role

Admin

Full permissions and full visibility across the account. This is the typical role for HR or leadership, or anyone who manages the account.

Gifter

Can place orders but only sees their own order history. This fits managers, locations, or departments that order for their own employees without managing the account or viewing companywide orders. Gifters have several optional controls, covered in the next section.

Auditor

View-only access designed for finance. Auditors can see orders and pull invoices, including who received gifts and the amounts, but cannot place orders or view gift codes.

Gifter options

When you invite a Gifter, you can shape what they are allowed to order.

Payers

Only relevant if your account has multiple billing options, for example billing a parent company versus an individual location. Choose which payers the Gifter can bill to.

Limits (under More options)

Any order that exceeds a Gifter’s limit still goes through, but it is held for admin approval before it is processed.

  • Credit limit: A revolving limit tied to unpaid invoices. If a Gifter has a $1,000 credit limit and places $1,000 in orders, further orders require admin approval until invoices are paid. Once $100 in invoices is paid, $100 of the limit opens back up.
  • Order limit: A per-order cap. Any single order above this amount requires admin approval. Set it low, such as $1, to route every order to approval, or higher, such as $100, to only flag larger orders.
  • Spending limit: A true budget that resets monthly or yearly. The Gifter gets an email each time the limit refreshes. For example, a $500 monthly limit lets a Gifter order freely up to $500 each month, with anything over that held for approval.

Program access

Choose which of the three programs the Gifter can order from: Gift Card+, GiftYouPick, or grocery vouchers. If your company only uses one program, restrict the Gifter to that program so they cannot order the others.

Tips for managing users

  • Use the Gifter role with a monthly spending limit for department heads. It gives them autonomy for day-to-day recognition while keeping total spend predictable.
  • Order limits and spending limits are the most commonly used controls. Credit limits are mainly useful when invoice payment timing matters to your finance team.
  • Give your payroll or accounting contact the Auditor role so they can pull gift amounts and invoices without needing an Admin seat.
  • Review the Users list when someone changes roles or leaves the company, since removal is a one-click task for any Admin.
