How to Order Gifts for Email Delivery (Instant or Scheduled)

Email delivery is the fastest way to get a gift to a recipient. You can send gift emails the moment you submit an order or schedule each one for a specific date and time, which makes it easy to set up a month of birthday gifts in a single order. This guide walks through creating a digital order, adding recipients by spreadsheet or individually, and tracking email status after you submit.

Start a new order

  1. Log in to the Corporate Traditions portal. You will land on the Dashboard.
  2. Click the Orders tab.
  3. Click New in the top right corner.
  4. Select a payer, if your company has multiple billing options.
  5. For order type, choose the gift card program. The other options are GiftYouPick for tangible gifts and grocery certificates.
  6. For delivery type, choose Digital. This covers email delivery.
  7. Click Create.

Review your order details

Section 1: Basic information

Confirm your company and choose your preferred payment method for the invoice.

Section 2: Recipients

This is where you add the gifts. Click Add Recipient to see your options.

Option 1: Upload a spreadsheet

Best for larger batches.

  1. Download the template spreadsheet from the upload screen.
  2. Fill in one row per recipient. The columns include:
    • Name and email of the recipient
    • CC or BCC if you want a copy of the gift email
    • Language and country, which sets the currency
    • Dollar amount
    • Custom message
    • Gift template, if you have created one on the Organization tab
    • Send date, send time, and time zone. Leave these blank to send instantly, or enter a future date and time to schedule the email.
    • Category limits, if you want to restrict the gift card categories available
    • PO number and notes, which display on the invoice
  3. Save the spreadsheet and upload it. Every row imports into Section 2.

The system warns you if any email addresses are duplicated so you can confirm that is intentional.

Option 2: Add a single recipient

Best for a handful of gifts, or for adding someone you missed on the spreadsheet. Every field here matches a column on the template.

  1. Enter the recipient’s name and email.
  2. Enter the dollar amount.
  3. Choose a gift template and enter a custom message.
  4. Open the More options toggle for CC and BCC, send date, send time, and time zone, language, custom catalog or category limits, and PO number and notes. Leave the date and time at the default to send instantly.
  5. Click Add Recipient. The gift is added to the bottom of your list.

Submit your order

When your list is complete, click Submit, review the confirmation, and click Submit again.

Track email status

On the order summary page, every gift is listed at the bottom with an email status:

  • Delivered: The email was sent immediately and reached the recipient’s inbox.
  • Scheduled: The gift is set for a future date and time. The status updates once it sends.

Click the three dots next to any gift to open the edit screen, where you can change the recipient’s email, reschedule the send date and time, or use the Resend Email button. See [How to Reschedule, Resend, or Reassign a Gift Email] for details.

Tips for email delivery

  • For recurring occasions like birthdays or work anniversaries, build one spreadsheet with everyone’s dates in the send date column and submit it as a single order. Each gift goes out on its own schedule.
  • Double-check the time zone column when scheduling. The send time is interpreted in the time zone you enter, not necessarily your own.
  • BCC yourself on scheduled gifts so you get a copy the moment each one sends.
  • Use the notes field to label gifts by purpose. It appears on the invoice and saves finance from asking.
